Accommodation Support

The Accommodation Team makes every effort to allocate a room that matches your stated preferences.

If you wish to be placed on the Waiting List for your preferred choice of accommodation before you check-in to your current accommodation, please submit a Pre-Arrival Waiting List request.

• If you choose not to accept your current room offer, you may request to be placed on the Waiting List for your preferred accommodation. However, please note that we cannot guarantee a room matching your preferences will become available before your arrival.
• If you accept your existing room offer, your accommodation will be secured for your arrival. Should we be unable to find an alternative that meets your preferences before you arrive, you will remain liable for the original room allocation.

• The request is active until your existing contract start date (where relevant).
• You will have 3 days to respond to a new room offer, after which the new offer will be cancelled.
• Completion of this form does not constitute approval of the request.
• Once we locate a room that matches your criteria, we will offer you that accommodation. In order to do this, when we offer you the alternative accommodation, we will cancel your existing room. This room will then be offered to another student and may not be available should you decide to reject this offer.
• There is no charge associated with the Waiting List.

Room Swap

We manage a Facebook Room Swap group. Post details of the accommodation you desire and you may be able to swap rooms with someone else. The cost for a Room Swap is £5.00 each. Make sure you state if your flat is: Alcohol-Free, Single Sex or Quiet, Mature area or Postgraduate.

If you find someone that wants to swap rooms with you, submit a Room Swap Request. We try and process this as quickly as possible when we are notified by both students a swap is wanted.

If you have already moved into your accommodation, please submit an In-House Transfer Request.

• Room transfer requests will be reviewed in a priority order, based on the date of your application and any medical requirements or disabilities.
• There is a £50.00 administration charge for all successful room transfers once you have occupied the accommodation.
• Check your emails regularly. Any updates will be sent to your university email address.
• Please provide as much information as possible for your request in order for the team to offer you the best alternative (e.g. quiet, single sex, alcohol-free etc.)
• The request is valid for 28 days from submission, and may be renewed if we are unable to fulfil your request within this timescale.
• After the new room offer is made, you will have 3 days to accept it before it is cancelled.
• Transfer requests may not be considered if you have any outstanding accommodation fees.

Room Swap

Your accommodation will be ready for you to check-in on the start date shown in your Tenancy Agreement.

If you are planning to arrive later than your Tenancy Start Date, you no longer need to take any action. Delayed Arrival Codes are not issued after the main September arrivals period.

• Upon acceptance of the Tenancy Agreement, you are financially liable for the duration of the contract terms.
• You do not need to book an arrival timeslot for your later arrival to accommodation.
• If you wish to discuss your tenancy start and/or end dates, please contact us directly for assistance.

Students who accept a contract for University accommodation do so for the full period shown on their contracts, which will normally be for a whole academic year or that portion which is yet to run. The Standard Occupation Contract creates a legally binding obligation between the student/contract-holder & the Landlord. The Standard Occupation Contract is a fixed-term contract which cannot be brought to an end before the End Date (other than where the student meets the statutory eligibility criteria outlined below) and the student is liable to pay the Accommodation Fees for the whole Contract Period.

Eligibility Criteria for Early Termination:

The Student will be entitled to be released from the Occupation Contract if one of the following conditions apply. The Student:

• Requests cancellation of their accommodation contract within 7 calendar days of accepting the accommodation offer.
• Does not commence their course at the University.
• Deferrers their studies at the University.
• Is suspended from studying at the University.
• Withdraws from studying at the University.
  
  

If you are living in University accommodation, it is your responsibility to take the following action. Your financial liability will not end until you have completed the following:

• Formalise your decision to withdraw/suspend/defer your studies with your academic department.

• Submit a Release from Accommodation Request
• Clean and remove all belongings and rubbish from your room.
• Return all keys to the accommodation back to Reception.

Submission of a Release Request does not in itself terminate the accommodation contract, and the student may remain financially liable for accommodation fees until the contract is lawfully terminated and confirmed in writing.

Students are advised not to enter into another accommodation agreement without formally being released from the Occupation Contract with the University. This is to avoid the risk of being liable for two separate Occupation Contracts.

Notice

• A 6-week notice period is applicable from the date the Release Request is submitted to students officially withdrawing, suspending or deferring studies.
• You are able to stay in your room and you will remain financially liable for the 6 weeks’ notice period.
• Please note, failure to notify Residential Services could result in full liability for the total accommodation fees.

If your possessions are left in the dwelling or any part of the residences after the end of this contract, the landlord is entitled to treat them as abandoned and you agree that they can be removed and disposed of by the landlord. You agree that the landlord is not obliged to store the goods for any period of time before it disposes of them.
